JOB OVERVIEW:

  • The ideal candidate would have experience with cleaning in clinical environments and knowledge of infection control procedures and handling of infectious waste and hazardous products. Responsibilities would include the cleaning of the entire Surgery premises in addition to safety, maintenance and cleanliness checks. Candidates would also be expected to possess physical capability for this role.

An opportunity has arisen for a Receptionist to join our team at Maryport Health Services. This role would be to join an existing team of eight Receptionists.

Job Title: Receptionist (Permanent, subject to successful probation period)

Accountable to: Reception Manager/Practice Manager

Hours: Part-Time or Full-Time

Starting salary: £22,370.00 per annum (whole time equivalent)

JOB OVERVIEW:

The successful candidate would ideally have experience of working in the NHS, but this not essential. Duties would involve handling incoming calls for appointments, dealing with patient queries, welcoming patients into the Surgery and supporting the Clinical Staff in the general running of the Surgery, this list is not exhaustive.

In addition to these duties the successful candidate would need to have good typing skills, an excellent telephone manner and interpersonal skills along with proven IT skills including knowledge of using Microsoft programs such as Word and Outlook. A flexible attitude to work and the ability to work well within a team and independently is required. The successful candidate would be expected to be available to cover Reception posts in between Practice opening hours of 08:00 – 18:30 and on occasions covering during Extended Access 18:30 – 20:00.

JOB SUMMARY:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.  Project a positive and friendly image to patients and other visitors to the practice.

Provide general assistance to the Practice team.

JOB RESPONSIBILITIES:

Administration:

  • To have a thorough knowledge of all Practice policies and procedures.
  • To work in accordance with written protocols.
  • Patient correspondence, e.g. appointments.
  • Pulling/filing notes.
  • Email and photocopy as requested.
  • Prepare weekly Reception rota

Reception:

  • Receiving and directing all patients and visitors in an efficient manner.
  • Handing out completed correspondence, e.g. insurance forms, blood books medical certificates etc.
  • Collection of any necessary payments from patients or their representatives
  • Monitoring patient flow verbally or via electronic call system
  • Awareness of and response to staff alarm system.
  • Dealing with all patient and staff enquiries.
  • Receive specimens to be sent to the lab for testing.
  • Communicating with colleagues regarding information about any urgent or unresolved matters.
  • Dealing with patient test result enquiries.
  • Contacting patients via telephone or SMS text messaging.

Appointments:

  • Responsible for making patient appointments, both on the computerised appointment system and manually if appropriate for surgeries/clinics either in person or via telephone.
  • Operating triage system with clinical support.
  • Printing and distribution of appointment lists.

Telephones:

  • Responsible for the smooth operation of the telephone system directing calls to the relevant recipient or taking a detailed message when appropriate.
  • Have working knowledge of telephone system, during and after hours.

Computer:

  • Registration of temporary residents.
  • Data entry.

Other Tasks:

  • Ensure building is secure – have thorough knowledge of doors/windows/alarms.
  • Responding to and managing urgent situations
  • Any other tasks allocated by managers.
  • Open premises, when required, activate telephone from night out-of-hours service, and take any urgent calls
